"A new consult was booked which is great, but this email was sent. Consults do not need to have intake forms. It's also worded as an evaluation which is incorrect."
Fixed: Removed intake form from consult confirmation. Corrected wording from "evaluation" to "consultation" throughout the email template.

Referral Automation Not Triggering

"I have put in a referral using the form and the automation didn't trigger."
Fixed: Contact had been pre-entered over the weekend by Evelyn — already in pipeline. Re-submitted referral form and confirmed automation triggered correctly (email + SMS sent).

Closed & Resolved

Send Review Request Workflow

✓ Re-published
"It is titled the Send Review Request workflow."
Fixed: Workflow had been unpublished. Re-published and confirmed active. Discharge trigger → Review Email 1 → Review SMS → 3-day wait → Review Request 2 → 3-month / 6-month / 9-month / 12-month follow-ups all live.

Discharged Status Trigger

✓ Fixed
Status change to "discharged" was not correctly updating discharge date or triggering follow-up sequence.
Fixed: Discharge date now auto-sets to today when status changes. Full 12-month maintenance follow-up sequence confirmed active for both discharged and maintenance status transitions.

Myo Notes — Preset Access

"I can't seem to figure out how to add the preset note for Myo. I changed Cora Pollard to the intensive pathway under client info, tried to add a note, but it's just blank... I tried with my profile, David Smith is contact name and it doesn't populate the note."

  • Note auto-populates when a booking is made — not manually added after the fact
  • Demo the correct flow live: booking triggers the Myo pathway note automatically
  • Walk Amanda through where to find and review the note in the patient profile

Automations Access on App

What Amanda Is Asking For

Ability to view and edit automation workflows directly in the GHL mobile app — currently restricted to admin-level access.

Decision Needed on This Call

Granting automation access lets Amanda make direct edits, which could break live workflows. Discuss: read-only access vs. full edit access. Recommendation: read-only first, then expand after she's comfortable with the workflow logic.

Action If Approved

Update Amanda's user role in GHL Settings → Team Management to include Automations permission. Takes 2 minutes — can do live on this call if agreed.

Nurture Sequence

Current Status

Nurture sequence is now triggering correctly when a contact is added. The trigger is live and confirmed working.

What's Still Needed

The sequence currently has placeholder content. We need at least 9 more email bodies written before the sequence is patient-ready. Subject lines on all existing workflows also need to be updated — Amanda will show Bryce where on this call.

Decision on This Call

Who writes the 9 emails — Amanda drafts and Bryce refines, or Bryce writes from scratch using Amanda's tone? Agree on turnaround timeline so sequence can go fully live.

What Amanda Provided

Header images for appointment confirmation emails — designed in Canva and shared in Drive. These go at the top of Confirmation Email 1, 2, and 3 in the marketing automation sequence.

Work Together on This Call

Pull up the headers in Canva together. Export in correct format (PNG, 600px wide). Drop into GHL email builder for each of the 3 confirmation email templates. Confirm render on mobile + desktop before closing.

Amanda's Assets — Need to Be Built In
