Privacy Policy

How Emerson handles customer records, connected email and calendars, AI processing, website analytics and privacy requests.

Last updated:

1. Who we are and what this covers

Emerson is the relationship CRM offered by Emerson North LLC ("Emerson," "we," "us"). This Privacy Policy covers emersonone.com, inquiries and demos about Emerson, and the Emerson product and related support services. It is separate from the policy for Emerson North’s agency website and marketing services.

For website inquiries, account administration and our own business records, we determine how personal information is used. When a firm uses Emerson to manage its contacts, communications and other business records, we process that information on the firm’s behalf under its instructions and agreement. Your firm’s own privacy notices also apply to those records.

2. Information Emerson processes

Information you provide may include your name, business email, telephone number, company, role, demo responses, account details, support requests and billing contact information. Payment providers process payment details; Emerson may receive billing status, transaction references and related records.

Customer records can include contacts, relationship history, notes, tasks, opportunities, documents, agreements and payment records. Depending on the features your firm enables, they can also include email content and attachments, calendar events and attendees, messages, call records, meeting recordings, transcripts and AI-generated summaries.

We also process technical information used to operate and protect the service, such as IP addresses, browser and device information, sign-in activity, request logs, errors and service usage. The information available to Emerson depends on what you provide, connect and authorize.

3. How we use information

We use information to provide accounts and customer workspaces, organize relationship records, sync connected services, support search and AI features, and carry out communications and workflows your firm requests. We also use it to respond to inquiries, schedule demos, administer subscriptions, provide support, maintain reliability, investigate abuse and comply with legal obligations.

We do not sell customer personal information or use customer email, calendar content or relationship records for targeted advertising. We use customer content to provide the service to that customer, not to build advertising audiences.

4. Connected email and calendars

When you connect Google or Microsoft, you authorize access through that provider’s consent screen. Depending on the permissions you grant, Emerson can read and organize email and attachments, send email on your behalf, and read, create or update calendar events. This enables shared relationship history, scheduling, meeting preparation and follow-up. We store authorization tokens and synchronized records needed for those features; we do not ask for your Google or Microsoft password.

You can revoke authorization in your Google Account or Microsoft account or through your organization’s administrator. You can also use the available disconnect controls in Emerson. Revocation prevents further authorized access to that provider; it does not automatically erase records already imported into your firm’s workspace. Contact your workspace administrator or us to request deletion of those records.

5. Google user data and Limited Use

Emerson’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

The Google permissions Emerson can request, and what each is used for: Gmail (read, send and organize your messages) to show your inbox, link each message to the person it is with, note commitments made in it, and let you reply, send and file mail from Emerson; Google Calendar to show your schedule, check for conflicts, book meetings and record past meetings with the people who attended; Google Contacts (read only) to bring the people you already know into Emerson; Google Meet conference records (read only) and the Drive files Meet created, such as recordings, transcripts and meeting notes (read only), to attach them to the meeting they belong to; and your Google account’s email address and basic identity to sign you in and label which account is connected. Some workspaces request only Gmail sending and Google Calendar, in which case Emerson does not read your inbox.

Google data is stored in your firm’s Emerson workspace, encrypted in transit and at rest, for as long as the account stays connected and your firm’s workspace exists. When you disconnect, Emerson stops accessing Google and revokes its authorization with Google; you or your administrator can ask hello@emersonnorth.com to delete records already imported, and we do so within 30 days.

Google data is used for the connected features you authorize. Transfers are limited to providing those features with your consent, protecting security, meeting legal obligations, or a business transfer with the consent required by Google’s policy. Human access to restricted Google data requires your affirmative agreement to view specific data, except for permitted security, legal or aggregated internal-operation purposes.

We do not use Google user data to serve advertising, determine creditworthiness, or develop, improve or train generalized AI or machine learning models.

Read the Google API Services User Data Policy

6. AI, recordings and human access

AI features process relevant customer content to generate drafts, summaries, suggested tasks and answers about the customer’s records. This can involve sending relevant content to AI service providers, including OpenAI. We do not use your firm’s content to train general-purpose AI models for other customers. Provider processing and retention depend on the service and configuration used; this policy does not promise zero retention by every provider.

Calls and meetings may be recorded, transcribed or summarized when those features are enabled. The firm using Emerson is responsible for participant notices, permissions and recording consent. If you participate in a customer’s call or meeting, direct requests about its recording to that firm.

Authorized Emerson North personnel can access customer deployments to operate and support the service. Access to Google data is additionally restricted as described above. People your firm authorizes may see records according to the access provided within its workspace.

7. Emerson Recorder browser extension

The Emerson Recorder Chrome extension records meetings that you choose to record and sends them to your own Emerson dashboard. It captures the audio of the current browser tab and your microphone only after you start a recording, and a visible recording indicator is shown for as long as it is running. It does not record in the background or on tabs you have not chosen to record.

The extension also reads the title and URL of the meeting page you are recording, so the recording can be labeled and filed. At sign-in you enter your work email address; we use it only to find your own Emerson dashboard and for nothing else. After sign-in, the extension stores a device token in its local browser storage so it can send recordings without asking you to sign in again.

Recordings, the meeting title and URL, and your sign-in email go only to your own Emerson dashboard. That dashboard transcribes and summarizes recordings using AI providers that act as our processors and handle the content only to provide those results. We do not sell this data, use it for advertising, or use it to determine creditworthiness or eligibility for credit. No person at Emerson reads your recordings or transcripts unless you consent, it is needed for security, or the law requires it.

To delete your data, remove the extension from Chrome, which deletes the device token it stores. You can also revoke the device in Settings in your Emerson dashboard, which stops that device from sending anything further, or email hello@emersonnorth.com and we will act on your request. Deleting recordings and transcripts already in your dashboard is handled through your dashboard or the same email address.

The use of information received from Chrome APIs by the Emerson Recorder extension adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements.

8. Service providers and other disclosures

We use providers for hosting, databases, communications, AI processing and payments. Depending on your configuration, these include Vercel and Supabase for infrastructure; Google and Microsoft for connected accounts; OpenAI for AI features; Twilio for messaging and calls; meeting providers such as LiveKit; and Stripe or LawPay for payment features. They receive the information needed to perform their role. Contact us for the providers relevant to your deployment.

We may disclose information when required by law, to investigate abuse or protect rights and security, or as part of a merger, acquisition or transfer of the business, subject to applicable law and the additional Google data restrictions above. An independently connected third-party service also has its own privacy policy and account terms.

9. Cookies and website measurement

Browser storage supports features such as sign-in and saved preferences. The website uses Vercel Analytics to measure site visits without analytics cookies. Our own website analytics also records public page paths, referring sites, campaign tags, basic browser information, and an anonymous session ID kept in session storage. Our server may receive your IP address. This tracker excludes account, booking, and token pages. The session ID does not identify a person.

10. Retention, exports and deletion

We retain information for the service, support, security, accounting and legal purposes described in this policy. Retention depends on the type of record, the firm’s instructions and its agreement. Customer records remain available while the service is active, subject to those terms.

Your firm can request an export of its data. At the end of service, request an export within the period in your agreement; the standard product terms provide 30 days. After that period, customer records may be deleted. Backup copies age out on their retention cycle, and some records may be retained for legal obligations, security or disputes. Disconnecting an integration and deleting imported records are separate actions.

11. Security and processing locations

Customer data is kept apart: larger accounts run their own database and deployment, and shared-edition accounts are separated by row-level security. We use access controls and encryption in transit to protect information, alongside the infrastructure providers’ safeguards. No system can guarantee absolute security. Our security page describes the current product controls.

Emerson North operates in the United States. We and our providers may process information in the United States and other locations where they operate. If your firm needs a data processing agreement, transfer terms or a particular processing location, contact us before connecting that information.

12. Your choices and privacy requests

Depending on your location and applicable law, you may have rights to access, correct, delete or obtain a copy of personal information, restrict or object to certain processing, withdraw consent, or complain to a privacy regulator. These rights can be subject to legal exceptions.

Email hello@emersonnorth.com with your request. We may verify your identity and authority before acting. If your information is held in a customer firm’s workspace, contact that firm first; we assist it with requests under its instructions. You can also revoke connected-account access through its provider.

Emerson is a business service and is not directed to children under 13. Do not submit protected health information unless we have expressly agreed in writing to that use and signed the required business associate agreement. The public website and demo booking form are not intended for patient information.

13. Updates and contact

We will post revisions here with an updated date and provide additional notice or seek consent where required for a material change. Questions about this policy or privacy requests can be sent to Emerson North LLC at hello@emersonnorth.com.
